Our Process
Strategic Planning for Educational Success
01
Initial Consultation & Needs Assessment
- We start by talking with your administration, curriculum coordinators, and tech staff to understand exactly what you need.
- We review your current textbook and digital-resource setup (publishers, platforms, formats, login systems).
- We help you prepare a complete materials list: print books, eBooks, supplementary resources — school-wide or by department.
- We assess quantities, format preferences (print vs. digital), delivery schedules, and school calendar timing.
02
Materials Acquisition & Order Management
- Once the plan is approved, we place orders with publishers for all required educational materials (textbooks, digital licenses, supplementary items).
- We double-check quantities, license counts, and delivery dates to align with your academic calendar.
- We handle all the paperwork: purchase orders, quotes, publisher coordination — so your staff does not have to track dozens of communications.
03
Print Distribution & Delivery (Scheduled Print Distribution)
- We manage delivery logistics for all print materials.
- We schedule distribution to match your campus calendar — ensuring books arrive when needed (e.g., before the school year, before new semesters, etc.).
- We deliver to your campus(es), grade levels, or departments — organized and ready to hand out.
- If requested, we can coordinate on-site delivery or drop-offs to make distribution even easier for your staff.
04
Digital Platform Integration & Setup
- We coordinate with each publisher to configure digital platforms, set up accounts, and enable licenses.
- We integrate all digital resources — eBooks, online portals, curricula — into a single unified portal for your school.
- We connect with your Student Information System (SIS) if applicable, to streamline rostering, access, and account management.
- We configure Single Sign-On (SSO) so students and teachers log in once to access everything.
05
Onboarding & Access Verification (Campus-wide Rollout)
- We onboard teachers, administrators, and — if needed — tech staff or librarians
- We ensure every user has the correct login credentials and permissions.
- We test the system: login, access to print/digital resources, SSO, platform navigation, license validity.
- For multi-campus or multi-grade implementations, we tailor the rollout to each campus or division as needed.
06
Ongoing Support, Maintenance & Troubleshooting
- After launch, we remain available for support: helping with login issues, platform glitches, access problems, or user-specific questions.
- We monitor usage, licenses, and performance to ensure resources are functioning as intended.
- We follow up with teachers and administrators to make sure the experience is smooth and efficient.
- We handle any adjustments — new enrollments, new license requests, platform changes or updates.
07
Data Analysis & Insights (Post-Implementation)
- We track usage metrics: who logs in, which materials get accessed, frequency, and volume.
- We help you see patterns: under-used resources, popular textbooks or platforms, license utilization rates.
- We provide reporting to support next-year budgeting and resource planning.
- We advise on optimizing costs — which materials to keep, which to reconsider — based on real data.
08
Continuous Improvement & Annual Review
- At the end of each school year (or at agreed intervals), we review what went well and what can be improved.
- We collect feedback from administrators, teachers, students, and tech staff.
- We update and refine workflows: ordering, distribution, platform setup, support, and user experience.
- We prepare for the next cycle: adjusting book lists, re-ordering, license renewals, onboarding, and rollouts.
